Privacy Policy

This policy explains what information ChildDomino collects, why we collect it, and the control you have as a parent or guardian. Highlighted placeholders are details still to be confirmed.

1.Who we are and how to contact us

ChildDomino is a web-based platform that helps parents and guardians understand their child's strengths and support their development with small, practical steps.

ChildDomino is a trading name of Quad Dynamic Ltd, a company registered in the United Kingdom under company number 12976232. Our registered office is 20-22 Wenlock Road, London, N1 7GU, United Kingdom.

For the purposes of applicable data protection law, Quad Dynamic Ltd is responsible for the personal information processed through ChildDomino where it acts as the controller.

This policy is written in plain English. It explains what we collect, why, and the control you have over it.

2.Information you provide when you create an account

When you sign up as a parent or guardian, we collect:

  • Your email address and sign-in details (or your Google account if you sign in with Google).
  • Your name, if you choose to add it.
  • Optional profile details you may add, such as country, phone number, preferred language, your main goal for using ChildDomino, and how often you would like reminders.
  • Whether you have confirmed you are the child's parent or guardian, and whether you have opted in to marketing emails.

Passwords are handled by our authentication provider and are stored in a hashed form. We never see your password.

3.Child profile information

You choose what to enter about your child. A child profile can include:

  • The child's first name (or a nickname. A real name is not required).
  • Age and school stage.
  • Pronouns, if you add them.
  • Interests, favourite subjects and learning preferences.
  • A short note about what you would most like to understand or support.
  • A profile colour used for display.

We do not ask for a child's full date of birth, home address, school address, photographs, voice or video recordings, or any medical records.

4.Assessment responses

When you complete a child assessment, we store the answers you give across the assessment sections (curiosity, creativity, social, motivation, learning, environment, character strengths and the open-ended questions), along with progress and completion status so you can pause and come back later.

5.Diary entries, observations and feedback

We store what you write and record in the app, including:

  • Diary entries, observations and notes you add about your child.
  • Feedback on suggested activities. For example whether an activity was done, skipped or not right for now.
  • Any reflections you record when reviewing progress.

6.Life Skills progress

For Life Skills we record which skills have been introduced and their status (for example not introduced, practising, confident, or revisit), plus any short note you choose to add and the date it was updated. We record progress, not the underlying personal details being practised, see Children's Privacy & Data.

7.Courses and Today's Domino activity

We store:

  • The tailored courses generated for your child, their lessons and activities.
  • Course progress, completed lessons and check-in answers.
  • Suggested activities, which ones were shown, and what you marked as done or skipped, so suggestions adapt over time.

8.Teacher information and teacher contributions

If you invite a teacher, we store the invitation details you provide. Teacher name, teacher email and school name where you add them. Plus the invitation's private link, status and expiry date.

If the teacher completes the short form, we store what they submit: academic snapshot ratings, classroom strengths, focus areas, a recommendation and a school focus. Teacher contributions are linked to that child's profile and are shown to you for approval before they influence your child's guidance.

9.Technical and account information

To run and secure the service we process:

  • Account identifiers, account status and timestamps such as when your account was created, updated or last active.
  • Standard server and security logs generated by our hosting and database providers, which may include IP address, browser type and request details.
  • Error reports so we can fix problems.

10.Payment information

Where paid plans are offered, payments are handled by our payment provider, [Payment provider name]. Card and bank details are entered with the payment provider and are processed by them. ChildDomino does not receive or store your full card details.

We store plan and membership information needed to run your subscription, such as which plan you are on and its status.

11.Children's Privacy & Data

ChildDomino is designed for parents and guardians to use in supporting their children. Accounts are held by adults. Children are not expected to create accounts or use the platform independently, and information about a child is entered by the adult who is responsible for them.

You do not need to enter sensitive real-world safety information

Life Skills activities are practised offline, in real life. ChildDomino does not need, and you should not enter. Your child's actual home address, memorised phone numbers, passwords, PINs, bank or card details, or any other real-world security information. The platform records only whether a skill has been introduced, is being practised, or feels confident.

How children's information is used

Information you enter about your child is used to personalise your child's support inside your account, including:

  • The Child Snapshot and the strengths and patterns it describes.
  • Recommendations and next steps.
  • Age-appropriate Life Skills guidance.
  • Tailored courses.
  • Today's Domino suggestions.
  • Progress information and insights that combine your observations with any approved teacher contributions.

ChildDomino does not diagnose, medically assess or clinically evaluate children. Nothing in the platform is a medical, psychological or educational diagnosis.

We do not use children's information to build advertising profiles, and we do not sell children's information.

12.Why we collect information and how we use it

  • To create and run your account and keep you signed in.
  • To generate the Child Snapshot, courses, Life Skills guidance and Today's Domino suggestions.
  • To adapt suggestions based on your feedback, diary entries and approved teacher input.
  • To show progress over time.
  • To provide support when you contact us.
  • To keep the service secure, prevent misuse and fix faults.
  • To improve the product and the quality of the guidance we generate.
  • To send service messages, and marketing emails only if you opt in.

Some personalised content is generated using third-party model providers. Content is sent for processing to produce your child's guidance; we do not send more than is needed for that purpose.

13.Lawful bases for processing

Where UK/EU data protection law applies, we rely on:

  • Contract. To provide the service you have signed up for.
  • Consent. For optional things such as marketing emails, and for the information you choose to enter about your child. You can withdraw consent at any time.
  • Legitimate interests. To keep the service secure, prevent abuse and improve the product, balanced against your rights.
  • Legal obligation. Where we must keep records or respond to lawful requests.

14.Parent and guardian control

  • You decide what information to enter, and you can edit or remove it.
  • You can update a child profile at any time. We suggest reviewing it every 6 to 12 months.
  • You can delete a child profile and its associated information.
  • You can withdraw a teacher invitation at any time.
  • You approve teacher contributions before they are used.
  • You can delete your account.

16.Data sharing and service providers

We do not sell your information. We share it only with providers who help us run the service:

  • Hosting, database, authentication and storage providers.
  • Model providers used to generate personalised guidance.
  • Email delivery providers for account and service emails.
  • A payment provider, where paid plans are used.
  • Analytics or error-reporting tools used to keep the service working.

We may also disclose information where we are legally required to, or to protect the safety and rights of users. A current list of providers is available on request from support@childdomino.com.

17.Data retention

We keep your information for as long as your account is active, so your child's history and progress remain available to you.

When you delete a child profile or your account, the associated information is removed from the live service. Limited records may be kept where we have a legal or accounting reason to do so, and routine backups may persist for a short period before being overwritten. Our standard retention period after account deletion is [retention period, e.g. 30 days].

Expired teacher invitations stop working automatically.

18.Account deletion

You can ask us to delete your account and all associated child profiles at any time by contacting support@childdomino.com. Deletion is permanent and reports, snapshots, courses and diary entries cannot be recovered afterwards.

19.Access and export

You can view the information held about your family inside your account. If you would like a copy of your data in a portable format, contact us and we will provide it within the time limits set by applicable law.

20.Security

We take practical steps to protect your information, including:

  • Encryption in transit using HTTPS.
  • Database access rules so a parent's information is only accessible to that parent's account.
  • Passwords stored in hashed form by our authentication provider.
  • Time-limited, revocable teacher links.
  • Restricted internal access, limited to what is needed to run and support the service.

No online service can be completely secure, so we cannot guarantee absolute security. Please use a strong, unique password and tell us if you think your account has been accessed by someone else.

21.Cookies and similar technologies

We use cookies and similar browser storage to keep you signed in, remember preferences, and keep the service secure. These are essential to the platform working.

Where we use optional analytics cookies, this is described here: [analytics provider and cookie details, if used]. You can control cookies through your browser settings, although blocking essential cookies will stop you being able to sign in.

22.International data transfers

Our providers may store or process information in countries outside your own, including the United States. Where information is transferred internationally, we rely on the safeguards offered by those providers, such as standard contractual clauses. Our primary hosting region is [hosting region].

23.Your privacy rights

Depending on where you live, you may have the right to:

  • Access the information we hold about you.
  • Correct information that is wrong or incomplete.
  • Delete your information.
  • Restrict or object to certain processing.
  • Receive a portable copy of your information.
  • Withdraw consent at any time.
  • Complain to your data protection regulator. In the UK this is the Information Commissioner's Office (ico.org.uk).

24.Children's data rights and parent requests

Because child information is entered and controlled by a parent or guardian, requests about a child's information are normally made by that parent or guardian through their account. We may ask you to verify your identity before acting on a request. Where a child is old enough to exercise their own rights, we will handle requests in line with applicable law and, where appropriate, with the parent or guardian involved.

25.Changes to this policy

We may update this policy as the platform develops. We will change the "Last updated" date at the top, and for significant changes we will tell you in the app or by email.
